Job description

The Intake Coordinator works under the direction of the Clinical Director. The Intake Coordinator Provides assistance to the Director of Operations and Clinical Director as required or as requested. The Intake coordinator screens potential clients for suitability with Arise and coordinates potential client needs with therapist availability and clinical expertise.

We are looking for an individual who has completed a Bachelor's degree in Psychology, Social work, or a related field and has an interest in working in the Mental health field. The intake coordinator must have excellent people and communication skills, patience, empathy, and administrative skills. The intake coordinator is a team player, has an interest in mental health, and can work independently. Computer skills and good phone efficacy are required.


The Intake Coordinator has the following roles at Arise:

  • New Client Intake Coordinator
  • Back-up Receptionist/scheduler


New Client Intake Coordinator Essential Responsibilities

  • Manages Clinicians' initial scheduling and oversees clinician availability
  • Screens potential clients during a phone call assessing need and appropriateness of care
  • Schedules intake appointments with appropriate therapists
  • Communicates with clinicians about new clients
  • Communicates with the Clinical director about difficult cases
  • Coordinates internal transfers
  • Ensures client consent forms are signed and filed, and communicates with clients about consent requirements and procedures
  • Submits Single Case Agreements and Secondary Authorizations
  • Send out records in case of record requests


Other Essential Duties and Responsibilities:

The Intake coordinator takes over reception duties when the receptionist is out of the office.

  • Answers the phone at the Arise office and answers questions or directs phone calls and messages
  • Greets clients upon arrival at Arise Eugene, and answers client questions regarding scheduling, therapist availability, office procedures, HIPAA compliance, billing and payments
  • Schedules and coordinate patient appointments to optimize client satisfaction and facility efficiency
  • Collect payments from clients
  • Communicate with clinicians regarding scheduling clients, cancelations and schedule changes
  • Creates and updates patients' electronic health records
  • Records and updates demographic and financial information
  • Verifies patient insurance benefits
  • Maintain total confidentiality of personal and financial data
  • Informs Operations manager about patient payment and insurance issues
  • Informs Clinical manager about Client issues
  • Assume responsibility of maintenance of office equipment (printer, paper, filling office cups and treats, etc.), communicates need for office supplies to Director of Operation
  • Word processing, filing, Information research, Shredding, Faxing, Keeping reception HIPAA compliant and completing any and all clerical functions
  • Supports company operations by maintaining office systems and supporting staff with technical questions and client-related inquiries.
  • Keeps track of intake metrics (tracking incoming calls, scheduled sessions, referral sources)
  • Attend ongoing training and courses to keep up to date of new developments in health care, health insurance and medical billing
  • Comply with organizational guidelines and health care laws and regulations.

Starting wage: $18.00 - $20.00 per hour Depending on experience.

This is a full-time in-house position.
